Crafting Effective Prompts for ChatGPT: Unlocking Fundraising Potential for Nonprofits

In our fast-paced world of fundraising, the ability to effectively communicate our organization's mission and needs is crucial. With the advent of AI-powered language models like ChatGPT, nonprofits now have a powerful tool at their disposal to streamline their fundraising efforts. While it has its limitations and pitfalls, it can still be super useful. See our previous blog post on how ChatGPT can be used to cut down on the time it takes to create fundraising materials. One of the pitfalls is that you need to craft the right prompts and to harness the full potential of ChatGPT and get it to generate accurate and valuable responses. In this blog post, we will explore key strategies to help you create effective prompts for ChatGPT, ultimately maximizing your outcomes.
Know what you are looking for
To ensure that you get the correct information from ChatGPT, have an idea of what you are looking for prior to creating your prompt. Do you want suggested strategies or do you want a draft you can work off of? For example, if you want to use ChatGPT to create a program design, are you asking it to create the design itself, or do you have a design you want it to describe? This will help you determine what level of information to provide the AI in order to get what you need. Remember that this is still a computer and cannot work with information it doesn’t have. It also can sometimes use circular logic when building strategies, so always use them as first round ideas rather than a final product.
Be clear and specific
When formulating prompts for ChatGPT, clarity and specificity are paramount. Clearly articulate the purpose of your nonprofit, the specific project or program you are seeking funding for, and any relevant details and descriptions you wish it to pull from. Avoid vague or ambiguous language that may confuse the AI model and lead to inaccurate or unhelpful responses. The more precise your prompt, the better equipped ChatGPT will be to generate relevant and meaningful suggestions. However, there is such a thing as too specific, and the model will simply give you back what you put in practically word for word. The key is to strike that balance.
Utilize contextual information
To enhance the accuracy and relevance of ChatGPT's responses, provide relevant contextual information in your prompts. Share details about your nonprofit's target audience, geographical location, past fundraising initiatives, and any specific challenges or goals you are facing. Remember, ChatGPT cannot search the internet for what is on your website or within your files. It can provide some general information on your cause, but everything it knows about you and your organization and mission, you must provide within your prompt.
Note of Caution
ChatGPT is a tool, not a replacement, and cannot do your work for you, or replace the need for additional fundraising positions. It has access only to the information it has been given or can create for itself. All data and information referenced in ChatGPT should be thoroughly checked, or you may end up like this lawyer who cited non-existent cases made up by ChatGPT. It prioritizes answering your prompt over being accurate, and often uses outdated language that may not be appropriate anymore. My number one rule when using ChatGPT is to double check EVERYTHING.
A second concern is privacy, we’ll discuss this more in a future blog post, but please do be sure to avoid putting any client or proprietary information into ChatGPT. Each session might be private but the database is using your work to learn and it will keep it, even if you close the session!
ChatGPT offers nonprofits a unique opportunity to tap into a wealth of new options and language, making fundraising and grant writing endeavors more effective and efficient. By crafting clear, specific, and context-rich prompts, organizations can harness the full potential of ChatGPT to generate ideas, draft materials, and overcome obstacles that can slow down our work. As long as you understand the limitations of the tool, and are prepared to do your due diligence to ensure accuracy, ChatGPT can significantly enhance your workflow.

Here are a few examples of effective and ineffective prompts to provide context around the level of specificity and clarity you need.
Ineffective Prompt:
"Write me an acknowledgement letter."
Explanation: This prompt is too broad and lacks specificity. It does not specify the nonprofit's goals or the impact they are trying to convey to their donors. ChatGPT will provide a generic Thank You letter, which may not be relevant or helpful for the organization's fundraising efforts or provide the donor with an understanding of the impact their donation has.
Effective Prompt:
"We are a nonprofit organization based in Philadelphia, focused on animal welfare. Please draft a standard acknowledgement letter for our individual donors using a conversational tone. We want to express our gratitude while also providing impact updates on how their contributions have made a difference. Over the last year we have helped more than 100 animals find their forever homes, and more than 100 families now have pets of their own. Your donation makes this possible.”
Explanation: This prompt is good because it clearly states the purpose (crafting effective acknowledgement letter), provides context about the nonprofit's focus (animal welfare), and specifies the desired outcome (expressing gratitude and providing impact updates), it also contains the necessary impact information to ensure accuracy and the tone the organization uses when it addresses individual donors. It allows ChatGPT to create a first draft from which you can tailor the language and insert additional information.
Ineffective Prompt:
"Write me a grant proposal for an afterschool program?"
Explanation: Similar to the previous example, this prompt is too broad and lacks context. It does not provide any information about the nonprofit's focus, the specific grant they are applying for, or any unique challenges they may face. ChatGPT will write a generic after school program proposal, which will not be accurate or tailored to the organization's needs.
Effective Prompt:
“We are a nonprofit organization dedicated to providing educational opportunities for underprivileged youth in rural communities. Please craft a proposal to secure funding for our after-school tutoring program. Provide language that effectively communicates the impact of our program, showcases our organization's capacity and expertise, and aligns with the funding priorities of education-focused grantmakers using the following information: [insert details of your organization, the design of the after-school program, relevant statistics and any details on the funding priorities of the grantmakers you are looking to submit the proposal to. Bullet points are fine.]"
Explanation: This prompt provides essential information to guide ChatGPT in generating relevant and impactful language for the grant proposal. It specifies the nonprofit's focus (providing educational opportunities for underprivileged youth in rural communities) and the specific project for which funding is being sought (after-school tutoring program). It also includes significant information about your organization’s history, the program you’re seeking funding for, statistics you already have vetted, and instructions for what the grantmakers are looking for. This prompt sets clear objectives for ChatGPT to provide accurate and tailored language that will strengthen the grant proposal. You will still need to do a lot of editing to have a finished product ready for use, but using ChatGPT can cut down on the time it takes to create a first draft from the information you have.
